our requirements

  • Previous experience in administrative roles, preferably with exposure to travel coordination or similar responsibilities

  • Exceptional organizational skills and attention to detail, ensuring accuracy in travel arrangements and expense tracking

  • Strong communication skills, both written and verbal, to interact effectively with employees and external travel partners

  • Proficiency in using travel booking platforms, office software, and expense management tools

  • Ability to multitask and prioritize tasks in a fast-paced environment, meeting tight deadlines

  • A proactive and solutions-oriented mindset, capable of addressing unexpected challenges during travel planning, and the impetus to solve unexpected situations

  • Familiarity with travel regulations, visa requirements, and international travel protocols is a plus

  • Discretion in handling sensitive information and maintaining confidentiality

  • High level of professionalism and customer service orientation

  • Obligatory advanced English skills spoken and written (at least B2 level)

your responsibilities

  • Accepting and processing travel requests from employees, cooperators, and executives, ensuring all necessary details are provided

  • Utilizing online platforms to make travel arrangements, including flights, accommodations, transportation, and visa processing when required

  • Negotiating contracts with service providers

  • Coordinating travel itineraries and ensuring all bookings align with the company's travel policy and budget guidelines

  • Handling travel-related inquiries and providing assistance to employees regarding travel policies, procedures, and best practices

  • Compiling and organizing travel documents, expense receipts, and other relevant information for record-keeping purposes

  • Facilitating the reimbursement and settlement process for travel-related expenses, ensuring accuracy and compliance with company policies

  • Monitoring and managing changes to travel plans, such as cancellations, rescheduling, and urgent adjustments

  • Collaborating with various internal teams to gather required approvals, documentation, and authorizations for travel plans

  • Assisting in the preparation of travel reports, summaries, and presentations for management review
